Booking & Cancellation Policy
This policy explains how bookings made through Trip2VN work: how a trip is confirmed, how payment is structured, and what happens if plans change. It applies to travel services arranged by Trip2VN. Your written quote is the authoritative document for your specific trip. Where its terms differ from the defaults below, the quote prevails, and we will always draw your attention to any difference before you confirm.

1. How booking works
- Enquire. Tell us about your trip through a tour page, the itinerary builder or the Plan Your Trip form. Submitting an enquiry is free and creates no obligation.
- Receive a proposal. A Trip2VN specialist replies with a day-by-day plan and a complete written quote.
- Refine together. Adjust the route, pace, hotels and budget with your specialist until the plan is right.
- Confirm in writing. Your booking exists only once you have confirmed the final plan and quote in writing and paid the deposit stated in it.
- Pay securely. Payment is made through a secure link from an established payment provider, never by sharing card details over email or chat.
2. Quotes and pricing
Prices marked with a tilde (~) on the website are reference prices: realistic starting points, not committed numbers. Final pricing depends on season, group size and accommodation level, and appears only in your written quote. Unless stated otherwise, quotes remain valid for 14 days; after that, availability and prices may need to be re-confirmed.
3. Deposits and payment schedule
Unless your quote states otherwise, the default schedule is:
- A deposit of 20 to 30% of the trip price confirms your booking.
- The balance is due 30 days before your departure date.
- Trips confirmed within 30 days of departure are payable in full at confirmation.
Some components, such as peak-season hotels, domestic flights, special permits and event tickets, may require earlier or full payment. Your quote will identify any such component explicitly.
4. Changes by you
Before confirmation, revisions are unlimited and free; that is what the planning stage is for. After confirmation, we will accommodate changes wherever our suppliers allow. Where a change triggers supplier fees or price differences, we pass them on at cost and confirm the new total in writing before proceeding.
5. Cancellation by you
Unless your written quote states different terms, the following default scale applies to the trip price, measured in days before your first day of travel:

Certain components are non-refundable regardless of notice, typically flights, permits, entrance tickets and peak-season accommodation. These are always identified in your quote. To cancel, notify your specialist in writing; the date we receive your notice determines the applicable tier.
6. Changes or cancellation by us
It is rare, but if Trip2VN must materially change or cancel a confirmed trip for reasons within our control, you may choose between a comparable alternative or a full refund of all amounts paid to us. We are not responsible for costs incurred outside your booking with us, such as independently purchased international flights. This is one of several reasons we strongly recommend travel insurance.
7. Weather, safety and force majeure
Vietnam’s geography is part of its appeal, and occasionally part of its unpredictability. If weather, natural events, government action or other circumstances beyond anyone’s control affect your itinerary, safety decides first. We rework the plan with you, substitute equivalent services where possible, and refund recoverable costs for services that cannot be delivered. Force-majeure cancellations are refunded net of costs already irrecoverably committed to suppliers.
8. Refund processing
Refunds are issued to the original payment method. We initiate refunds within 7 to 14 business days of confirming the refund amount; the time for funds to reach your account then depends on your bank or card issuer, typically a further 5 to 10 business days.
9. Travel insurance and documents
Travel insurance covering cancellation, medical care and evacuation is strongly recommended and is not included in our prices. Ensuring valid passports, visas and any required documents remains your responsibility; your specialist will gladly point you to current official requirements.
